What data will we be collecting?
We will collect several types of personal data including:
- the audio testimonies and images of living identifiable people
- name, age, location, ethnicity and racial identity and sexual orientation of individuals
- personal photographs and documents
What will we be doing with the data?
We will be using the data in various forms such as:
- research outputs (visual, digital and physical)
- project reports
- public communication
Project Outputs
Project outputs will be shared in public events and stored on a public website for 5 years after the completion of the project.
Project outputs will be available for re-use under the Creative Commons Licence (CC BY 4.0), with the exception of outputs containing Special Category Personal Information.
Where a Creative Commons Licence is not indicated, GREC and Four Pillars reserve all of the copyrights. Permission needs to be obtained to re-use these outputs except for educational purposes.
With the consent of the contributor, some oral history interviews will be deposited at the Elphinstone Institute Archive.
Personal Data
Data related to your involvement in the project, such as contracts, contact details etc., will be stored according to GREC/Four Pillars privacy notices, not on a publicly available website.

What is our legal basis for processing this data?
As we are processing Special Category Personal Data, we require two legal bases which are respectively:
- explicit consent
- archiving purposes, scientific or historical research purposes or statistical purposes
In certain cases, we are also processing data which has already been made public.
We will obtain your consent for:
- publishing outputs online and publicly
- making our outputs available for re-use
We will provide you with consent forms which we will ask you to sign.

Who do we share it with?
Data related to your involvement in the project will be shared, as required, with The National Lottery Heritage Fund, our funding partner.
Any personal data in the project’s content will be published on our website and given a Creative Commons licence for re-use (CC BY 4.0), unless an exemption has been granted.
For project outputs, we might work with third-party organisations. No data will be shared with a third-party without prior consent.
Third party access
The project uses the following data processors for the provision of its services. These processors only manage the data according to our instructions and are bound by formal contracts.
- MS Office 365 for our emails and office documents.
- One.com for web hosting.
- Transkriptor for transcription services.
- GREC web hosting.
Your rights under data protection law
You have a number of rights under data protection law to find out more about how your personal data is processed. The following rights have particular relevance for personal information published as part of this project.
GREC/Four Pillars needs to respond to these requests within 30 days.
Right of access (or “Subject Access Request”, “SAR” or “DSAR”)
You have the right to receive a copy of your personal information and information about how GREC/Four Pillars uses it.
Right to rectification – You have the right to ask GREC/Four Pillars to correct your personal information where it is incorrect or incomplete.
Right to erasure (or “right to be forgotten”) – You have the right to ask that your personal information be deleted in certain circumstances, such as where consent has been withdrawn, where it is no longer necessary to keep it or where it legally needs to be deleted.
Right to object – You have the right to object to GREC/Four Pillars processing of your personal data in certain circumstances.
